Hosting a Stanford Student Intern

Stanford University’s values include engaging with partners beyond our campus to learn from and give back to our local and global community. When Stanford students engage in experiential learning opportunities, our partner organizations play an important role as co-educators. We want to encourage these partners to join us in supporting the safety and wellbeing of our students. The following document is intended to be shared with our partners to provide them with an overview of Stanford’s expectations and resources for creating and maintaining a safe and inclusive community.

Creating a Safe Workspace

Stanford University is an institution dedicated to the pursuit of excellence and we are grateful for your partnership in this endeavor. As an internship host we hope that your company/organization will provide a Stanford student intern with a learning experience that is mutually beneficial, with substantive work projects, a safe and secure on-site work environment (if the intern is on-site), ongoing supervision and guidance in the completion of tasks, and regular check-in meetings.

The health, safety and security of our community is of the utmost importance, as is the creation of an environment free of sexual harassment and misconduct, intimidation, bribery, and exploitation.

As part of your role in hosting a Stanford student intern, we ask that you please review the following guidelines regarding the expectations and responsibilities of Stanford University community members. 

  • Provide a work environment that is safe and adheres to Stanford University’s non-discrimination and sexual harassment policies:
  • Explain to the intern any relevant workplace policies and procedures maintained by your company that they will be expected to follow (e.g., confidentiality, security, sexual harassment).
  • Members of the Stanford community are prohibited from all forms of bribery and corruption, as outlined in Stanford University’s anti-bribery policy.
  • Per Stanford’s Name Use Guidelines, it is prohibited to use the Stanford name/logo in connection with an actual or implied endorsement of your products, services, activities, promotional materials. 
  • Review Our Shared Culture of Respect. To ensure a successful advising and mentoring relationship, when interacting with the intern:
    • One-on-one meetings should take place in public locations, avoiding isolation and secrecy.
    • Provide clear expectations and maintain professional boundaries.
    • Avoid overly personal discussions about non-work matters.
  • If during the opportunity, Stanford University policies (including the Provost’s International Travel Policy) and/or local health/safety conditions no longer permit on-site work by the student, assist in converting the remainder of the work  to a fully virtual experience to the greatest extent possible.
  • Immediately notify Stanford of any issues involving the Stanford intern by contacting [sponsoring unit]
